Clearwave is listed in the NextGen Marketplace and integrates with NextGen Enterprise for kiosk, tablet and mobile check-in, writing demographics, insurance and payments back to the PM System as discrete data.

EyeCare Services Partners (ESP) is a great example of the integration success between NextGen and Clearwave in action. Across 75 locations, ESP collects about 90% of co-pays at check-in and roughly $5M a year through kiosks — see how this integration supports their check-in process and how your organization could achieve similar results.

Healthcare organizations also integrate Clearwave and NextGen to power online scheduling, voice AI for scheduling and call handling, patient communications and more — all to drop no-shows and reduce staff workloads across the patient journey.

How does Clearwave work with NextGen Enterprise at check-in?

Clearwave integrates with NextGen to provide patient check-in tools that truly absorb staff workloads, including mobile pre-registration, clinical intake and in-office kiosks.

How it works: Patients pre-register for their appointments on the go—right from their Clearwave reminder. Then, Clearwave sends patient-entered information straight into NextGen, so your front desk isn’t retyping it. For clinical intake, Clearwave integrates directly within NextGen’s industry-leading EHR solution, ensuring the forms patients fill out before their visit end up in the chart where providers can use them to prepare for upcoming exams.

At check-in, patients step up to the kiosk or scan a QR code to check in, and if they’ve completed pre-registration, they don’t have to re-enter any of the information. Instead, those patients simply walk up and sign in at the kiosk, where their insurance is automatically checked. They can make any necessary payments on the spot and be ready to see their provider in seconds. During check-in, Clearwave scans patient driver’s licenses and insurance cards, verifies eligibility and collects co-pays, past-due balances and more through the kiosk, which connects directly with NextGen’s preferred payment vendors, like InstaMed.

What does check-in look like across a 75-location network?

ESP works with ophthalmology and optometry practices and ambulatory surgery centers nationwide, supporting more than 150 physicians across 15 practices and 75 locations that see a combined 50,000 patients a month. As appointment volume grew, front desks were swamped at check-in, wait times climbed and manual insurance checks took hours staff didn’t have. Each practice also ran its own mix of tools, so there was no consistent way to measure performance across the network.

ESP chose to standardize operations using one patient engagement platform, rather than adding staff and point solutions to patch singular gaps along the patient journey. By launching Clearwave to cover the full patient journey, ESP now sees impactful results across their 75-location network.

    • $5M in annual collections through Clearwave kiosks
    • 90% average co-pay collection rate
    • 76% patient self-registration adoption
    • 61% patient adoption of pre-registration
    • 2m 45s average check-in time

“Our goal is to equip every practice in our network to operate efficiently and grow sustainably. Clearwave has proven to be a true partner, helping us standardize workflows and drive efficiency across organizations,” said Janna Mullaney, Chief Operating Officer at ESP.

Why does check-in drive revenue for eyecare practices on NextGen?

The vision vs medical question is a top challenge in eligibility and benefits verification for eyecare practices. A patient might be billed to a vision plan or a medical plan, depending on the visit, and a wrong call at the front desk turns into a rejected claim later. Clearwave sorts out vision versus medical co-pays faster at check-in, then shows the patient what they owe on a private screen, where most people simply pay. Across ESP’s network, that consistency is what adds up to about $5M a year collected at the kiosk.

The kiosks are also built for the people using them. Large, anti-glare screens and simple navigation were designed with ophthalmology patients in mind, and that’s part of why self-registration holds up across ESP’s practices.

Is a kiosk worth it if NextGen already offers patient check-in?

Yes, Clearwave’s patient check-in approach amplifies practice efficiency and scalability, especially once check-in volume grows faster than organizations can hire to meet it. NextGen’s patient engagement tools give patients a way to check in with the help of staff intervention to hand out tablets, encourage patients to check in via mobile devices and ultimately, take over when patients aren’t instantly empowered to check in on their own.

On the flip side, Clearwave’s check-in kiosks are designed to take that work off the front desk, so patients finish check-in on their own, and your team can spend its time on patient care and the administrative work that needs a person.

First State Orthopaedics, a 10-location NextGen practice with 39 physicians, shows what that patient-led check-in approach looks like at scale. Patient-led kiosks are the standard there:

    • 99% of patients check themselves in
    • Under 90 seconds average check-in time
    • 8 FTEs of capacity absorbed between the front desk and chart prep
    • 65% pre-register before they arrive
    • 72% confirm their appointment ahead of time

For an eligibility standpoint, insurance checks that used to mean payer calls and portal reviews now run automatically, and payment prompts are built into check-in. “These positions were particularly challenging to keep staffed long term,” said Kevin Lee, Regional Operations Director. “Clearwave provides a solution that eliminates the constant churn of new staff arrivals and training and allows us to keep our very best employees operating on a more optimal level.”

What should NextGen practices ask a check-in vendor?

Consider how much of check-in still needs a staff member once the vendor is live. Long lines, inconsistent collections, re-keyed data and high claim rejection rates all mean your team is still carrying most of the work. Those are usually the signs it’s time for a new check-in partner.

If you’re comparing options, ask three things:

    • What share of patients truly complete check-in on their own?
    • Does registration data land in NextGen as discrete fields, or does someone have to clean it up?
    • Does eligibility run before the visit, so the co-pay is right when the patient pays?

The answers tell you whether check-in will keep working on the days your front desk is short-staffed. For First State Orthopaedics and ESP, that consistency across every location is what made the investment pay off.
